Time & billing

Sales → Time & billing (at /time) is for work you sell by the hour — consulting, bookkeeping, design, legal, IT support, any retainer or project work. Log the hours as you go, then turn them into an invoice. It's on the Business plan and up.

Log time

The Log time card at the top of the page takes one entry at a time:

  • Date — defaults to today.
  • Customer — who to bill. You can leave it blank while you're still working out where the time belongs, but an entry with no customer can't be billed.
  • What did you do? — the description that ends up on the invoice line. Required.
  • Hours — typed as hours, in quarter-hour steps (1.5, 0.25, 2.75). Required, and capped at 24 hours per entry.
  • Rate / hour — what you charge for this entry. Leave it blank and the entry is worth nothing, so it'll show up to bill at R0.
  • Project — optional, and this is the one worth using. Pick a project and the revenue eventually lands on your Profitability by project report.
  • Billable — ticked by default. Untick it to record time you're not charging for.

Click Log time. The description and hours clear for the next entry; the date, customer, rate, project and billable tick stay put, so logging a morning's work is quick.

There's no start-stop timer — you type the hours. And entries can't be edited once saved: to fix one, delete it and log it again.

Where the rate comes from

You type it, every time. There's no rate per customer, per project or per person, and no link to an employee's payroll rate. If you charge one rate, keep the box filled as you capture — it carries over between entries in the same session.

Recent time

Below the form, Recent time lists what you've logged — newest first, up to 500 entries — with a status of unbilled, billed, or a dash for non-billable time. Billed rows link straight to their invoice; unbilled rows can be deleted.

There are no filters or totals on this list. It's a log, not a report.

Turning time into an invoice

Ready to bill appears above the log whenever there's unbilled, billable time with a customer on it. Time is grouped by customer and project, showing the entry count, total hours and total amount.

  • Pick a revenue account for the group.
  • Click Create invoice →.

You get a draft invoice with one line per time entry — each described as your text plus the date and hours — priced at each entry's own rate, using your default VAT rate, dated today and due in 30 days. If you picked a project, the invoice is tagged with it so the revenue reaches your project profitability report.

You land on the draft. Check it, change anything you want, then Issue it as normal. Nothing is posted to your books until you do.

Each entry is stamped with the invoice, so the same hours can never be billed twice.

Undoing a billing run

There's no "unbill" button. While the invoice is still a draft, deleting it releases the time entries back to Ready to bill. Once the invoice is issued it can't be deleted, so the link is permanent — correct it with a credit note instead.

What it doesn't do

  • No timer and no mobile stopwatch — manual entry only.
  • No editing an entry after it's saved.
  • No approval workflow — logged time goes straight into the live list, with no submit or approve step.
  • No per-person view. Time is recorded against whoever logged it, but there's no filter, report or utilisation view by person, and you can't log time on someone else's behalf.
  • No link to payroll timesheets. This is about charging customers, not paying staff — HR & Payroll handles that separately.
  • No grouping on the invoice — you can't roll a month up into a single "Consulting — 40h" line from here (you can edit the draft invoice by hand).
  • No expenses or disbursements, no cost rate, and so no margin-per-person reporting.
  • Non-billable time is stored and listed, but appears in no report.
